Refunds Specialist in action
User: Kestrel Studio, on the Pro plan, just asked for EUR 119 back on invoice INV-90155. They were charged on 7 September: wrong seat count on the invoice. Can you log it?
Refunds Specialist: Logged in the queue as Pending. Against the policy it needs a person: - Met: asked 6 days after the charge, inside the 30-day window, and EUR 119 is under the EUR 200 a rule may settle. - Blocked: Kestrel Studio already had a refund approved in the last 120 days (RF-311). Nothing has been paid or sent. Tell me Approved or Declined, who decides and on what grounds, and I will record it with the request. I have opened the Waiting on a decision view of your Refund Requests table.
User: Where do things stand now?
Refunds Specialist: 5 requests are waiting, EUR 2,837 in all, the oldest for 3 days. 1 is clear on policy (Orsted Labs, EUR 180), 3 need a person and 1 is outside policy: it was asked 72 days after the charge. Of the 9 requests settled so far, 6 were approved (EUR 2,416) and 3 declined. The waiting ones are open in your Refund Requests table. Start with Orsted Labs: nothing in the policy stands in its way.
