About this application
Know what every scanned letter is, who handles it and by when. Paste the text of your scanned letters (the OCR text from your scanner or mail service, one block per letter, a line with === between letters, up to 20 per run) and write your routing rules once: Type or sender words | Who | Folder. The app tells you what each letter is (invoice, contract, legal notice, tax, bank, insurance, junk, or a type of your own) from keywords you can extend, and lists its sender, reference numbers, amounts and reply-by date, each with the exact words it comes from, checked word for word against your text. Deadlines such as within 14 days of the date of this letter are counted by code, in calendar or business days, and a letter whose type or deadline is not clear goes to Needs a person instead of a guess. Each letter goes to the person and the folder of the first rule that matches, and becomes a card on your Mail Room board (Needs a person, Overdue, Due soon, To handle, Done). Run it again with no new text and the stages move by themselves, and a changed rule re-routes the open letters. Done and notes you set by hand are never rewritten. Settings: run date, reception date, due soon window, date order, your own type words, letters per run, and preview only. Needs no account. Nothing is moved, sent, paid or forwarded, and it does not read the paper itself: a virtual mailbox or OCR for the scans, and Drive or SharePoint filing, come later. To pull the same fields from many documents of one kind, see Document Intake Extractor; for contracts, see Obligation Tracker.
